Job Description

o Assists in office management that includes facilities maintenance, good office housekeeping, maintenance of office supplies inventory

Conducts regular office (facility grounds, storage rooms, office furniture, fixtures and equipment) preventive maintenance inspections to ensure safety and offices good over-all condition

Liaises with RCBC Facilities team to ensure Netsuite is updated with corporate office building maintenance schedules and other advisory

Informs Office manager of potential hazards in a location and coordinates installation , replacement or repair of furniture, fixtures, electrical wiring to subcontractors or RCBC facilities team

Prepares maintenance reports, incident reports and time sheets

Responds to Global Facilities Case and takes action on the case until closure

Answers phone calls

Primary point of contact for technical troubleshooting (basic to intermediate MEPF concerns)

o Initial point of contact for Safety and Security concerns

Secures premises and personnel by patrolling property; monitoring surveillance equipment; inspecting buildings, equipment, and access points; permitting entry.

Obtains help by sounding alarms.

Prevents losses and damage by reporting irregularities; informing violators of policy and procedures; restraining trespassers.

Completes reports by recording observations, information, occurrences, and surveillance activities; interviewing witnesses; obtaining signatures.

Maintains environment by monitoring and setting building and equipment controls.

Maintains organization's stability and reputation by complying with legal requirements.

Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; evaluating new equipment and techniques.

Attends and evaluates technical concerns and decide what can be repaired in-house and what needs to be sought technical service from vendors

o Vendor and Contract Management (30%)

Identifies and maintains lists of vendors and sources of supply for goods and services

Assists with the development and implementation of procedures for contract management and administration

Assists in evaluating and monitoring contract performance to ensure vendor complies with contracted obligations (SLAs) and assists with clarifying contract requirements

Assists in the negotiation of contracts with an optimum mix of price and quality.

Ensures that signed contracts are communicated to all relevant parties to provide contract visibility and awareness, interpretation to support implementation.

Assists in ensuring contract close-out, extension or renewal.

Prepares PEZA annual report requirements and

o Events (20%)

Assists in researching and planning meetings and special events such as Communications Meetings, Board Meetings, holiday parties, company gatherings etc.

Provides periodic progress reports to the Office Manager and regularly coordinates with Social Committee members for each event project

Prepares and sends email / teaser invites to Manila Staff to encourage registration, provide information on event details, special instructions, etc.

Proposes ideas to improve the event planning and implementation process

Serves as liaison with vendors on event-related matters


2-5 years relevant experience

- Preferably knowledgeable of PEZA regulations and requirements

- Preferably knowledgeable of latest security updates

Must be a BS Engineering (Electrical, Mechanical, Civil, etc.) graduate.

Must have excellent interpersonal skills

Must be highly organized, efficient and very good at multi-tasking and problem solving abilities

Must have very good attention to details and high level accuracy

Must have inventory management experience.

Hardworking, adaptable and can train others

Proficient in Microsoft Office (Word, Excel Power point)

Working knowledge of PEZA requirements

Working knowledge of building safety and security requirements.

Trade knowledge and experience in basic troubleshooting and repair methods (Civil repairs and MEPF); TESDA or similar certification desirable

Preferably with experience in risk assessment, project management, vendor management and waste management
